The useful starting point

Match product identity before interpreting content; a newer or more polished document is not automatically the right one.

Build an identity chain

CCOHS’s chemical-inventory guidance includes specific product identification and links to the relevant SDS. Health Canada’s WHMIS guidance connects label and SDS product identifiers. An informal nickname should not replace the identifying information needed to establish a document match.

In your study notes, keep a short chain: container record, product identifier, supplier information and document version. If a link is uncertain, mark it. A neat PDF with a recent date may still concern a different formulation or product. Recency cannot repair an identity mismatch.

Compare a fictional product folder

A training file concerns Service Fluid PX-4, supplied by North Workshop Products. Document A is titled PX-4 and names that supplier. Document B is newer but is titled PX-4R. Document C uses the nickname “shop fluid” and has no supplier shown in the excerpt. All names here are invented.

The exercise asks which document is the strongest candidate for further checking. A is the closest match to the supplied identity, but the record still needs verification. B must not replace it solely because its date is newer. C is too vague to establish a match. None should be selected by its logo quality or search ranking.

Use a comparison table

DocumentMatching evidenceQuestion to resolve
A: PX-4Identifier and supplier match the case fileIs this the current applicable document?
B: PX-4RSome characters and supplier branding look familiarDoes the added suffix identify another product?
C: shop fluidInformal workplace name onlyWhich exact product does the nickname refer to?

Record the source of each copy. “Downloaded today” describes when you obtained it, not necessarily when the supplier revised it. Keeping those dates separate makes a later review much easier.

Write a useful mismatch note

A strong note says, “The file concerns PX-4; the newer document concerns PX-4R. Confirmation is required before substituting the document.” This is better than “SDS outdated,” which assumes a conclusion the exercise has not established.

For a second attempt, imagine the supplier confirms in writing that a product name changed and explains which document now applies. Add that confirmation to the chain instead of deleting the earlier mismatch. The record then shows how the question was resolved. Your study skill is preserving the reasoning that connects the information to the product, so another person can check it without relying on your memory or an undocumented conversation.

Try it yourself

Check your reasoning.

Document B has a newer revision date but a different product suffix. Should it automatically replace Document A?

Open the suggested reasoning

No. The identifier mismatch must be resolved with reliable product information. A newer date alone does not show that Document B applies to the product in the case file.
